In short
WakeFlow is an alarm app that works on your phone. There is no account, no ads, no analytics and no tracking, and we never sell or share your data for advertising. Your alarms, mornings, sleep, routines and places are stored only on your phone. A few optional features need an online service — they are off until you turn them on, and this page lists exactly what each one sends, to whom, and for how long it is kept.
Who is responsible
This policy covers the WakeFlow app for Android (package ai.wakeflow.app) and WakeFlow’s server. WakeFlow is made by an independent developer based in Belgium, who is the data controller. You can reach the developer at info@wakeflow.eu.
Stored only on your phone
This information is kept in the app’s private storage on your phone (including Direct Boot device-protected storage for scheduled alarm times so your alarm can ring after an overnight restart). We cannot see it, and it is not sent anywhere unless you use one of the optional features below.
- Your alarms: times, days, sounds, backgrounds, challenges, routines and settings.
- Your morning history: when the alarm rang, snoozes, when you got up, left and arrived, and how long each step took — used to learn your real routine and travel time.
- Sleep: bedtimes, wake-up times, sleep scores and your sleep goal.
- Places: your Home and other places you chose on the map, with their addresses.
- Your first name, the friend you chose for an alarm (name and number), and your own custom sounds and background photos (copied into the app’s local storage on your phone and never uploaded anywhere).
- Overnight notifications from the apps you picked (see below) — kept for at most 24 hours.
Permissions and why we ask
Android asks you before most of these are used, and WakeFlow explains each one first. You can refuse or withdraw any of them in Android’s settings; the alarm keeps working.
- Alarms and reminders, full-screen notifications, display over other apps, wake lock, vibration, starting after a restart: so your alarm rings on time, over the lock screen, even after the phone restarts. Display over other apps is only used by the optional lock mode.
- Notifications: to show the alarm, reminders and your morning routine.
- Background services ("media playback" and "health"): to keep the alarm sound and sleep sounds playing with the screen off, and for Smart wake to read the motion sensor in the last minutes before your alarm.
- Location (precise or approximate, only while you use the app): to set your Home with "Use my current location", to calculate local sunrise and Fajr prayer times on your phone, and to get the weather. WakeFlow does not track your location in the background.
- Calendar: to read today’s events for your morning summary (only the calendars you choose). WakeFlow does not change your calendar.
- Notification access: to collect overnight messages and missed calls from the apps you pick, for your morning summary. Nothing from other apps is kept.
- Usage access: to see when your screen was off at night (to estimate your sleep) and your phone time after waking. Read on your phone only, never sent.
- Physical activity and motion sensors: for the steps challenge and Smart wake.
- Camera and flashlight: only to scan your wake-up code or to flash the camera torch during an alarm if you turn on the flashlight option. No pictures or videos are ever taken or kept.
- Do Not Disturb access: for the optional quiet hours from bedtime until your alarm.
- Contacts, photos and audio files: WakeFlow does not ask for broad access to your contacts or media library. When you pick a friend, a background photo or a custom sound, Android’s own system picker gives the app only the single item you choose.
Features that use the internet
Each of these is optional. Data is sent over an encrypted connection (HTTPS), only for that feature, and is not used to identify you, for advertising, or to train AI models.
- AI summary, overnight message digest, weekly report and "plan in words" (only after you allow AI): the text needed for that answer — for example today’s plan, the notifications from your chosen apps, or the sentence you typed — goes to WakeFlow’s server, which sends it to Google Cloud’s AI (Gemini on Vertex AI, in Belgium) to write the answer. The answer is sent back to your phone. Neither WakeFlow’s server nor the app stores this text, and Google does not use it to train its AI.
- The assistant and the coach (WakeFlow Pro, only after you allow AI): with each message to the assistant, for the coach’s advice (the first time you open WakeFlow that day, and again in the evening) and whenever you ask it for new advice, and once a day for the coach’s notification (sent by your phone at that moment, also when the app is closed — switch it off in More → Notifications & reminders), a short summary of your WakeFlow goes through WakeFlow’s server to Google Cloud’s AI (Gemini on Vertex AI, in Belgium): your alarms (name, time, days, the days they skip, options, routine steps and the times of their next morning), the names of your places — never an address or a location —, your sleep in the last 14 nights and tonight’s bedtime, your last 10 mornings (when the alarm rang, when you got up, left and arrived) and the habits WakeFlow found in them, for the assistant the public holidays of the next weeks where you are (if you chose a country for them), what you asked WakeFlow to remember, the forecast at home when Weather is on (fetched by your phone, see Weather) and, for the coach, its own tips of the last 3 days (so it doesn’t repeat itself). The answer comes back to your phone; the coach’s advice is kept there for the day (until the evening), and its tips for 3 days. WakeFlow’s server keeps none of it, and Google does not use it to train its AI.
- “Plan it with AI” (making an alarm from your sentence): besides the sentence, the app sends the phone’s local date and time, the names and kinds of your saved places (for example “HoGent — university”; never addresses or coordinates) and one number about your mornings (your average snoozes), so the suggestion fits you. Nothing is saved until you tap Save.
- “Your trip” (the journey step by step — walks, buses, trains — only when live travel times are on): your Home and the place you go to, rounded to about 10 metres so the right bus stop is found, and the time you need to arrive, go to WakeFlow’s server, which asks Google Maps (Routes) for the route. Neither WakeFlow nor its server stores them. “Open in Google Maps” opens Google’s own app or site, where Google’s privacy policy applies.
- Speaking instead of typing (the microphone button): WakeFlow asks for the microphone permission and listens only while its mic screen is open. Android’s own speech recognition (on most phones, Google’s) turns your voice into text and gives WakeFlow only the text and how loud you are (for the animation). WakeFlow never records, stores or sends your audio.
- Natural voice (WakeFlow Pro, if you choose it): the text of your summary goes through WakeFlow’s server to Google Cloud Text-to-Speech, which turns it into speech with its Chirp voices or with Gemini’s speech model. The recording is sent back to your phone and kept there only to replay that morning’s summary; neither WakeFlow’s server nor Google keeps the text. Otherwise your phone’s own voice reads it, on the phone.
- Weather: an approximate location (rounded to about 10 km) and the time, to Open-Meteo — or to MET Norway (the Norwegian Meteorological Institute) when your phone asks by itself, for the check before an alarm and the coach’s notification — to get the forecast. Nothing else is sent.
- Quran radio (only when you play it: Sleep → Quran): your phone plays the recitation live from mp3quran.net, which sees your IP address as any website does. Nothing else is sent, and WakeFlow keeps nothing about it.
- Live traffic and "Earlier for traffic & weather" (live traffic is on by default — switch it off in More → Privacy & backup; the second is set per alarm): your Home and destination, rounded to about 100 m, and your departure time go through WakeFlow’s server to a routing service (TomTom, or Google Maps) to get today’s travel time, and an approximate location (about 10 km) goes to MET Norway for the weather — 60 minutes before the alarm, from your phone. Not stored.
- Maps: while you pick a place, map images are loaded from OpenStreetMap, which sees which area of the map is shown. To find an address or a place — in the map’s search box, or when the chat looks up a place you named — your phone uses its own address search (Google’s on most Android phones): it gets the words searched and an area of about 100 km around your Home or where the map is (never an exact spot).
- WakeFlow Pro: you pay through Google Play — WakeFlow never sees your card or payment details. To check that a subscription is real, the app sends the purchase token Google gives it to WakeFlow’s server, which asks Google whether it is active and until when. The token is also sent with AI and trip requests so Pro gets higher daily limits. Not linked to your name; checks are kept in memory for a few hours only.
- Invites and the Pro trial (Google Play version): to give free Pro fairly, once per phone, the app sends WakeFlow’s server a one-way code made from Android’s ID for WakeFlow on your phone (it can’t be turned back into that ID and is different for every app), and — if you installed with a friend’s link or typed a code — that invite code. The server keeps, in Google Cloud Firestore in Europe: this code, your own invite code, when you joined, until when Pro is free for you, how many friends joined with your code, whether you have used WakeFlow for a morning (yes or no), and when you started the 7-day Pro trial, if you did (so it can be used once per phone). Nothing about your alarms, sleep or places, and no name. If you pay for Pro, your purchase token is used to move your next payment later as a reward.
- Public holidays: your country code (for example "BE") to Nager.Date, to know which days to skip.
- Message a friend: by default your phone opens a ready-to-send text and nothing is sent without your tap. Only when WakeFlow’s server offers automatic texts and you choose them, your friend’s number and your message go to the server, which texts them through an SMS provider if you don’t get up, and deletes them once the morning is over. You must have your friend’s permission before adding their number.
- Reporting an AI answer: if you report an AI answer, the reported text, the kind of feature and your reason are stored on WakeFlow’s server so we can review and improve it. They are deleted after review, and at the latest after 12 months.
WakeFlow’s server and service providers
- WakeFlow’s server runs on Google Cloud in Belgium (Europe). Like any website, it receives your IP address to answer a request. Our server keeps the IP address only in memory for about one minute, to stop abuse (rate limiting), and does not log the content you send. To cap what one internet connection can cost, it also counts requests for the current day under a one-way code made from the IP address with a random value that changes every day and is never stored — in memory only, so the address can’t be recovered from it.
- Assistant record: so the free guided first alarm can’t be used again by reinstalling, the server keeps, in Google Cloud Firestore in Europe and under a one-way code made from Android’s ID for WakeFlow: how many free uses you’ve had, whether the free guided first alarm (the tour) was used, and — for the last 3 days only — which planner conversations counted, on which day, and how many AI messages each had. Never what you wrote.
- Fair-use limits: AI, natural-voice and travel-time requests carry the one-way code made from Android’s ID for WakeFlow (see Invites above), so the server can limit how much one phone uses them. The code stays the same when the app is reinstalled, so the limits can’t be reset that way. If you pay for Pro, the limits follow your subscription instead (a one-way code made from its Google Play purchase token), so one subscription has one allowance on all your devices. It contains no name or phone number. The server counts it for the current day, and keeps for the current month — under a further one-way code — what that phone’s requests cost and on which days live traffic was checked (Pro has 30 traffic mornings a month); this is deleted automatically after the month. During the 7-day Pro trial it also keeps what the trial’s requests cost, deleted automatically two days after the trial ends. The app also sends a random number it made once (an anonymous device ID); the server no longer uses it.
- Service providers used for the features above: Google Cloud (AI text with Gemini in Europe, and the natural voice), Google Maps Platform (routes and “Your trip”, only if turned on), Open-Meteo and MET Norway (weather), mp3quran.net (Quran radio, only when you play it), OpenStreetMap (map images), your phone’s address search (Google’s on most Android phones, to find an address or a place), Nager.Date (public holidays), Google Play (payments for WakeFlow Pro), TomTom or Google Maps (live traffic, only if turned on), and an SMS provider (automatic friend texts, only if available and turned on). They receive only what is listed above and may use it only to provide their service.
- Google Play delivers the app and its updates; Google’s own privacy policy applies to that. WakeFlow does not include advertising or analytics tools.
How long data is kept
- On your phone: until you delete it in the app, delete all your data, or uninstall WakeFlow. Overnight notifications: at most 24 hours.
- AI, voice, weather, traffic, maps and holiday requests: not stored by WakeFlow — only used to answer the request.
- Automatic friend text: until the morning is over. Reported AI answers: until reviewed, at most 12 months. IP addresses on our server: about one minute.
- Invite and trial record: as long as it gives you free Pro and stops the same phone claiming it twice — at most 3 years — or deleted sooner when you ask us.
- Assistant allowance: the number of free uses and whether the guided first alarm was used, as long as the free uses must not reset — at most 3 years; the conversations counted: 3 days. Cost meter per phone (cost and traffic days): until the end of the month. Daily IP count: until the end of the day, in memory only.
Why we may use your data (legal basis)
- Your consent: for the optional features — AI, natural voice, notification access, calendar, location, usage access, live traffic and friend texts. You can withdraw it at any time by turning the feature off.
- Providing the service you asked for: running your alarms on your phone.
- Our legitimate interest: keeping the server secure and free from abuse (short-lived IP addresses), reviewing reported AI answers, and giving invite months and the trial fairly — once per phone.
Your rights and choices
- Every optional feature and permission can be turned off in Settings or in Android’s settings; the app keeps working.
- Export all your data or delete all of it in More → Privacy & backup. Uninstalling WakeFlow also deletes everything on your phone. What our server keeps under the one-way code (the trial, invites and usage counts — see above) isn’t deleted that way, so the trial and the limits stay fair; ask us and we delete it.
- Under data protection law (including the EU GDPR) you have the right to access, correct, delete, restrict or object to the use of your data, to receive it in a portable form, and to withdraw consent. Because almost everything stays on your phone, you can do most of this yourself in the app; for anything held on our server, contact us.
- You can also complain to a data protection authority — in Belgium, the Data Protection Authority (dataprotectionauthority.be) — or the one where you live.
WakeFlow Pro: trial, payment and cancelling
- The 7-day Pro trial is free, needs no payment details and is offered once per phone. There is nothing to cancel: it ends by itself after 7 days and never turns into a paid subscription. Free Pro from invites also ends by itself on the date shown in the app.
- WakeFlow Pro is a monthly or yearly subscription bought through Google Play. Google Play shows the price before you confirm and takes the payment. It renews automatically at the end of each period until you cancel.
- You can cancel at any time in the Google Play app: tap your profile picture → Payments & subscriptions → Subscriptions → WakeFlow Pro → Cancel subscription. Uninstalling WakeFlow does not cancel it.
- After you cancel, Pro stays on until the end of the period you already paid for, and no further payment is taken. Then WakeFlow goes back to Free; your alarms and data stay on your phone.
- Refunds and EU right of withdrawal: payments go through Google Play, so Google Play’s refund and statutory withdrawal policies apply — shortly after a payment (or within 14 days in the EU/EEA, subject to digital content rules upon immediate use) you can request a refund through Google Play or by contacting us. Cancelling stops future renewals and does not by itself refund the current period.
- If the price changes, Google Play tells you before it applies (and asks for your agreement where required), so you can cancel first.
Data outside your country
AI text is processed by Google Cloud in Europe (Belgium), like WakeFlow’s server. Some other providers listed above — for example Google Cloud Text-to-Speech (the natural voice), Google Maps, TomTom and Google Play — may process a request outside your country, protected by their data protection terms (such as the EU Standard Contractual Clauses).
Security
All connections use HTTPS. Data on your phone is kept in the app’s private storage, protected by Android. The server accepts requests only from the WakeFlow app and limits how many each device can make. No method is 100% secure, but we keep what leaves your phone to the minimum.
Age rating and children
WakeFlow is a general-audience alarm utility safe for all ages (Rated 3+ for on-device alarm use), while optional cloud, AI, and paid subscription features are intended for users aged 16 and older (or with parental consent) and are not directed at children. We do not knowingly collect personal data from children. If you believe a child has used an optional feature that sends data, contact us and we will delete anything held on our server.
Changes and contact
If this policy changes, we update this page and its date, and the app shows the new version. For questions or requests about your data, email info@wakeflow.eu.
